Registration Coordinator

Engineers Yukon is the regulatory organization established under the Engineering Profession Act (Yukon) to regulate the practice of engineering, to govern the profession in accordance with the Act, Regulations and By-Laws, and to establish and maintain standards of knowledge, skill, care and professional ethics among its members and licensees, in order that the interest of the public may be served and protected.

Under the direction of the Executive Director, the Registration Coordinator will administer the registration and licencing function of Engineers Yukon. The Registration Coordinator builds ongoing relationships with engineering professionals and is the subject matter expert on registration requirements. This is a key role with overall responsibility for all administrative activities related to the registration process for engineers, limited licence holders, engineers in training, and permit holders.

Responsibilities of the Registration Coordinator include:

  • creating registration files and evaluating applications for completion
  • processing payments for applicant fees and initial member/permit holder fees
  • preparing for Board of Examiner meetings
  • maintenance of the Engineers Yukon database including accurate and timely data entry, preparing reports, responding to report requests, exporting data to the national database
  • maintaining the integrity and security of all registrant records
  • contributing to continuous improvement of registration processes
  • educating and communicating with applicants about the registration process
  • assisting with annual renewal process for 1200+ individuals and 400+ permit holders
  • coordinating communications to membership through online database management system
  • building relationships with other provincial/territorial engineering admissions officials
  • representing Engineers Yukon's admission and registration interests at the NAOG meetings
  • participating and contributing to Engineers Yukon projects as needed

Although various combinations of education and experience will be considered, the ideal candidate will have:

  • three to five years in office administration, preferably with customer service experience and some quality improvement responsibilities
  • graduate of a recognized office administration or business program or a combination of education, training, and progressively responsible experience in an administrative role
  • prior experience in a regulatory association environment will be considered an asset
  • experience in Microsoft office is required, experience with member management systems an asset
  • strong attention to detail, ability to manage multiple priorities effectively in an everchanging environment and manage time efficiently; comfortable working independently as well as under supervision or in collaboration with others on the Engineers Yukon team; ability to critically evaluate processes and scenarios and contribute to registration related decisions
  • strong written and oral communication skills; ability to exercise tact and diplomacy to deal effectively with all internal and external stakeholders over the phone, via email or in person

This is full-time position, 37.5 hours a week. The salary range for this position is $64,350 to $74,100 based on candidate experience. Engineers Yukon has a comprehensive benefits package. Full Position Description: Registration Coordinator

Director of Professional Standards and Compliance

Engineers Yukon is the regulatory organization established under the Engineering Profession Act (Yukon) to regulate the practice of engineering, to govern the profession in accordance with the Act, Regulations and By-Laws, and to establish and maintain standards of knowledge, skill, care and professional ethics among its members and licensees, in order that the interest of the public may be served and protected.

Under the direction of the Executive Director, the Director of Professional Standards and Compliance will support the Executive Director and the Registrar in areas of professional practice, standards, and compliance and enforcement.

We are seeking a candidate that will provide:

  • oversight of the professional practice of Engineers Yukon members
  • support to the Registrar and Discipline Committee Chair relating to discipline and enforcement
  • oversight of the Continuing Professional Development (CPD) program relating to auditing and compliance

The candidate will also be asked to:

  • respond to inquires related to practice and provide guidance and advice to individual members and Permit Holders in their practices
  • draft new or update existing policies and procedures relating to enforcement and/or professional practice
  • assist with discipline related matters including committee training, complaints, and investigations
  • develop guidelines, standards, bulletins, etc. to assist professionals with their professional practice
  • represent Engineers Yukon's professional practice and compliance interests at meetings with various bodies such as Engineers Canada's Regulatory Advisory Groups, National Officials Groups, etc.

Although various combinations of education and experience will be considered, the ideal candidate will have:

  • demonstrated experience working within a comparable organization in the public sector, regulatory or association environment
  • knowledge of legislation and certifications affecting or impacting the practice of engineering in Yukon
  • experience in writing policies and procedures and proven ability to take initiative and to follow-through in the planning, development, writing and implementation of policies, procedures, and guidelines
  • strong communication, presentation, organization, and project management skills
  • experience using Microsoft Office, virtual meeting platforms and/or online database management systems
  • a degree in engineering while not required, will be considered an asset
